Thank you for choosing Happy Kids Party to be part of your celebration! Our goal is to make your event beautiful, memorable, and stress-free. The following Terms & Conditions help ensure that expectations are clear for both the client and Happy Kids Party.

1. Booking & Retainer

A 40% non-refundable retainer is required to secure and reserve your event date.

Your date is not considered officially booked until the retainer has been received. Dates are reserved on a first-paid basis and are not held without payment.

The remaining balance must be paid by the agreed payment due date.

E-transfer is the only accepted payment method. We do not currently accept credit or debit card payments.

2. Payment

All prices are quoted in Canadian dollars (CAD) and are based on the services and items agreed upon at the time of booking.

Any additional services, rental items, design changes, delivery requirements, or other requests added after the original agreement may result in additional charges.

The final balance must be paid in full before the event unless otherwise agreed in writing.

3. Custom Designs & Changes

Happy Kids Party provides customized décor based on the client's selected theme, colour palette, preferences, and agreed design.

Once a design, theme, or colour scheme has been approved, significant changes requested afterward may result in additional charges depending on the scope of the changes, materials already purchased, and availability.

Changes requested close to the event date may not be possible.

4. Cancellation

The 40% retainer is non-refundable because it secures your event date and allows us to begin preparing materials and services for your celebration.

If you need to cancel your event, please notify Happy Kids Party as soon as possible.

Cancellations made 10 or more days before the event date may be eligible for a credit toward a future booking, subject to the terms outlined in our Credit for Future Celebrations policy.

5. Credit for Future Celebrations

When eligible under our cancellation policy, clients may choose to receive a credit toward a future celebration with Happy Kids Party instead of a refund.

The credit is:

• Valid for 12 months from the original event date
• Non-transferable
• Not redeemable for cash
• Applicable toward a future Happy Kids Party booking
• Subject to availability and current pricing

6. Rescheduling

We understand that circumstances can change. Rescheduling requests should be made as early as possible.

A request to change the event date is subject to Happy Kids Party's availability.

If the new date is unavailable, the cancellation policy will apply.

Additional costs may apply if rescheduling requires new materials, changes to the design, or other services that have already been prepared or purchased.

7. Delivery, Setup & Pickup

Delivery, setup, and pickup services are provided according to the package or services selected at the time of booking.

The client is responsible for providing accurate venue information and ensuring that the venue is accessible at the agreed delivery and setup time.

For pickup services, all rental items must be ready and accessible at the agreed pickup time.

Additional fees may apply when significant delays, additional trips, difficult access, stairs, long-distance carrying, or other circumstances require additional time or labour beyond the original agreement.

8. Venue Access & Setup Conditions

The client is responsible for ensuring that the venue or event space is clean, accessible, and ready for setup at the agreed arrival time.

Happy Kids Party is not responsible for delays caused by venue access, other vendors, guests, venue staff, or an event space that is not ready for setup.

When delays significantly affect the scheduled setup, Happy Kids Party may need to modify the setup or charge additional fees for extended waiting or labour time.

9. Rental Items

All rental items remain the property of Happy Kids Party and must remain at the event location unless otherwise agreed in writing.

Rental items must not be moved, altered, modified, painted, taped, glued, nailed, or otherwise changed without prior approval.

Rental items must be used only for their intended purpose and must be returned in the same condition in which they were provided, excluding normal wear and tear.

10. Damage, Loss & Missing Items

The client is responsible for the care of all rental items and décor provided by Happy Kids Party during the rental period.

The client may be responsible for the cost of repair or replacement of items that are damaged, lost, missing, or returned in a condition that requires repair beyond normal wear and tear.

This includes damage caused by guests, children, pets, food, beverages, candles, outdoor conditions, misuse, or unauthorized alterations.

Replacement or repair charges will be assessed based on the item and the extent of the damage.

11. Balloons

Balloons are delicate decorative products and are naturally affected by temperature, sunlight, wind, humidity, handling, and other environmental conditions.

Happy Kids Party cannot guarantee that balloons will remain in their original condition throughout the entire event.

Outdoor exposure, direct sunlight, extreme heat, cold temperatures, wind, or sharp surfaces may cause balloons to deflate, pop, fade, or otherwise change in appearance.

Minor changes in balloon size, shape, or appearance are considered normal and are not considered a defect.

12. Outdoor Events & Weather

For outdoor events, the client is responsible for providing a suitable and safe setup area and, when necessary, adequate protection from weather conditions.

Happy Kids Party reserves the right to modify, relocate, secure, or adjust décor when weather conditions may affect the safety or integrity of the setup.

In cases of severe weather or unsafe conditions, certain outdoor services may need to be modified, relocated, rescheduled, or cancelled.

Happy Kids Party will work with the client to determine the safest and most reasonable solution based on the circumstances.

13. Client Responsibilities

The client is responsible for providing accurate information regarding:

• Event date and time
• Venue address
• Setup and pickup requirements
• Theme and colour preferences
• Venue restrictions or rules
• Access instructions
• Any other information that may affect the services provided

The client must notify Happy Kids Party as soon as possible of any changes to the event details.

Additional charges may apply when changes require additional materials, labour, travel, or preparation.

14. Photography & Marketing

Happy Kids Party may photograph or record completed décor setups for our portfolio, website, social media, advertising, and other promotional purposes.

We will make reasonable efforts to avoid identifying guests, particularly children, without appropriate permission.

If you do not wish your event décor to be used for promotional purposes, please notify Happy Kids Party in writing before the event.

15. Circumstances Beyond Our Control

Happy Kids Party will make every reasonable effort to provide the agreed services. However, we cannot be held responsible for delays, changes, or inability to provide services caused by circumstances beyond our reasonable control.

This may include severe weather, venue closures, accidents, emergencies, transportation disruptions, government restrictions, unexpected supplier issues, or other unforeseen circumstances.

When possible, Happy Kids Party will work with the client to find a reasonable alternative solution.

16. Service & Design Adjustments

While we make every effort to reproduce designs as discussed and approved, handmade and customized décor may have minor variations in colour, size, placement, or appearance due to material availability, lighting, venue conditions, and the handmade nature of our work.

Happy Kids Party reserves the right to make reasonable substitutions or adjustments when necessary, while maintaining the overall style, quality, colour palette, and visual intention of the agreed design.

17. Agreement to Terms

By submitting payment to secure a booking with Happy Kids Party, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.

These Terms & Conditions apply to all services and rentals provided by Happy Kids Party unless otherwise agreed in writing.
